Who we are

ImpactWeave CIC is the “data controller” for the personal data collected through this website — meaning we decide how and why your data is used.

What data we collect

We only collect personal data that you choose to give us. Currently, this happens in one place: our contact form, used across the Contact, Get Involved, Volunteer, and Fund Our Work pages.

When you submit that form, we collect:

  • Name
  • Email address
  • Organisation (optional — only if you’re reaching out on behalf of one)
  • Phone number (optional)
  • How you’d like to get involved (free text)
  • Your message

We do not currently collect payment information, and we do not have public user accounts on this site.

Why we collect it, and our lawful basis

We use the information you submit to respond to your enquiry, route your message to the right part of our team, and keep a record of the conversation so we don’t lose track of it.

Our lawful basis for this is consent — you choose to submit the form — and, where relevant, our legitimate interest in running the organisation and responding to people who contact us.

Community listening sessions

Some of the people who contact us are Black and diaspora women and girls interested in taking part in our community research. If you tell us you’d like to join a listening session, we may use the details you provide to get in touch about that specific opportunity.

If you are under 18 and want to take part in our work, we may need a parent or guardian’s involvement before we can proceed, depending on the nature of the activity. We will always tell you directly if that applies.

Who we share your data with

We do not sell your data. We may share it with service providers who help us run this website and process enquiries — currently Namecheap, who host this website, and MetForm, the form plugin we use to receive your enquiry. Both process data on our behalf under their own data protection obligations.

We may also share your details with NHS trusts, universities, or community organisations you ask us to connect you with — only where you’ve told us you want to be introduced, and only with your knowledge.

We do not currently use this data for advertising, and we do not share it with third parties for their own marketing purposes.

How long we keep your data

We keep enquiry data for as long as it’s useful for the purpose you gave it to us — typically up to 2 years — after which we delete it, unless we’re legally required to keep it longer or you’ve become an ongoing partner, volunteer, or funder, in which case we retain what’s needed for that relationship.

Cookies

This site uses essential cookies needed for it to function correctly (for example, to remember form submissions). If we add analytics, a newsletter tool, or any tracking cookies in future, we will list them here and update this section.

Your rights

Under UK GDPR, you have the right to access the personal data we hold about you, correct it if it’s inaccurate, delete it in most circumstances, restrict or object to how we use it, and receive a copy of it in a portable format.

To exercise any of these rights, email connect@impactweave.org. We’ll respond within one month, as required by law.

If you’re unhappy with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.

Changes to this policy

We may update this policy as ImpactWeave grows — for example, if we add a newsletter, start processing donations, or launch new programmes that collect different information. We’ll update the date at the top of this page when we do.
